Online booking

Take bookings while the doors are shut

Appointments, classes and tables, booked from your site around the clock. Confirmations and reminders send themselves, customers reschedule without calling you, whether or not we built your site.

Three ways businesses book

One system, three shapes of diary

A gym selling both group classes and one-to-one training runs both at once, on the same account and in the same diary.

Appointments

One person, one slot

A named member of staff, a length, and gaps either side so nobody is booked back to back with no time to clean down.

  • Personal training and coaching
  • Consultations and valuations
  • Treatments and clinics
Classes

Many people, one time

A capacity, an instructor, and a waiting list that offers the next person a spot the moment somebody drops out.

  • Gym and studio timetables
  • Yoga, pilates and reformer
  • Workshops and courses
Reservations

A party, and a space that fits it

Tables carry a party size range, so a couple never burns a six top and a party of six is never offered a two top.

  • Restaurant covers
  • Private rooms and studios
  • Equipment and lanes
What it does

The parts that decide whether it actually gets used

01

Confirmations and reminders

A confirmation goes out in seconds and a reminder before the appointment, without anybody sending anything. Fewer empty slots, no chasing.

  • Sent the moment the booking is taken
  • Queued, so a provider outage cannot lose one
  • Reminder timing set per business
02

Customers manage themselves

Every booking comes with a link that lets the customer reschedule or cancel without an account, a password, or a phone call to you at seven in the morning.

  • No login for the customer, ever
  • Cancellation rules you set
  • The freed slot is offered to the waiting list
03

Staff, spaces and equipment

Book a person, a room, a table or a piece of kit. Each one has its own hours, its own time off, and its own calendar.

  • Own hours per member of staff, inherited from the location
  • Time off as a range, not a date at a time
  • Two-way Google Calendar sync per person
04

The questions you always ask

Ask for what you need before the booking exists: placement and budget for a tattoo, party size for a table, an injury note before a session.

  • Typed questions per service
  • Answers attached to the booking and the customer
  • Terms to agree to, enforced on the server
05

No-shows, counted honestly

Repeat no-shows are tracked per customer, so a deposit or a policy has something behind it. The rate is measured against completed bookings, not padded with future ones.

  • Per-customer history and notes
  • No-show rate that does not flatter you
  • Blocked customers, when it comes to that
06

It cannot double book

Availability shown on a page is already out of date by the time somebody clicks. The last seat is checked again inside the write, so two people racing for it get one booking and one clear message.

  • Capacity re-checked at the moment of booking
  • The loser of a race is told the slot went
  • Proven against a real database, not assumed
Where it runs

It does not need a Harpen website

Most businesses take both because they work better together, but booking stands on its own.

On your Harpen storefront

Built in, styled to the site, nothing to install.

On a site you already have

One script tag, locked to your own domains.

On WordPress

A plugin that stores a key and renders the widget. No booking logic to break.

With no site at all

A hosted booking page you can link from anywhere, including a social profile.

FAQ

Questions about booking

How much does booking cost?
$29 a month, or bundled into your trade's package for less. There is no per-booking fee and no cap on how many bookings you take.
Can I use it without a Harpen website?
Yes. It runs on a site you already have with one script tag, on WordPress through our plugin, or as a hosted booking page if you have no site at all.
Can we run classes and one-to-one sessions together?
Yes. The shape of the diary is set per service, not per business, so a gym can sell group classes and personal training side by side in the same account.
Does it handle more than one location?
Yes. Each location carries its own hours, staff, timezone and diary, so a branch in Arizona that ignores daylight saving behaves correctly next to one that does not.
Does it work with our calendars?
Yes. Each member of staff can connect their own Google Calendar. Bookings appear there, and anything already in their calendar blocks the slot so they cannot be double booked.
Do we get the data?
Yes. Bookings, customers and reporting can be exported to CSV, and there is an API if you want to pull them into something else.
